Every incoming shipment undergoes physical inspection: batch number, manufacturing date, expiry date, packaging integrity, and cold-chain indicator check. Non-conforming batches are quarantined immediately and the importer/manufacturer is notified within 24 hours. Digital photo documentation maintained for audit trail.

Products within 6 months of expiry are flagged automatically in our inventory system. FEFO (First Expiry, First Out) dispatch is enforced at picking stage. Near-expiry alerts are sent to pharmacy customers 90 days before expiry. Products within 3 months of expiry are removed from active stock and returned to principal per agreement terms.

Transit-damaged goods are documented with photos at delivery point and replaced in the next dispatch cycle at no additional cost. Manufacturing defects are escalated to the principal within 48 hours. Replacement stock or credit notes are processed within 7 business days. Pharmacy customers bear no cost for quality issues originating upstream.

Returns accepted within 15 days of delivery for undamaged, resalable stock with intact packaging. Credit notes issued within 5 business days of receiving returned goods at our depot. Controlled substances and cold-chain products follow separate return protocols per DDA regulations. All returns tracked with unique return authorization numbers.

DDA-mandated recalls are actioned within 24 hours. Batch-level traceability enables rapid identification of affected pharmacies. Our team coordinates pickup of recalled stock from pharmacy shelves. Full credit or replacement provided as directed by the principal. Recall records maintained for 5 years per regulatory requirements.
